1. Introduction

ClearSignoff provides workflow approval management tools for business teams — configurable forms, multi-step approvals, status tracking, and audit history. This Privacy Policy explains what information we collect, how we use it, and how you can contact us about it.

ClearSignoff is currently an early access / beta service. As the product evolves, we may update this policy — see the "Changes to This Policy" section below.

2. What We Collect

Account information

• Name
• Email address
• Organization / workspace name
• Login and authentication information, handled through Supabase

User and organization data

• Forms and workflow configurations
• Submission content
• Approval steps and statuses
• Comments
• File attachments, if you upload them
• Email addresses of approvers, followers, or notification recipients

Usage and audit data

• Approval events, submission activity, and status changes
• Timestamps and user actions needed to maintain audit records
• Basic technical logs used for security, troubleshooting, and service improvement

Communication data

• Emails or messages you send to ClearSignoff
• Support requests
• Feedback or product suggestions

3. How We Use Information

We use the information we collect to:

• Operate the approval workflow service
• Create and manage user accounts
• Process forms, submissions, approvals, comments, and workflow activity
• Send transactional notifications — approval requests, status updates, reminders, and account-related messages
• Maintain approval history and audit records
• Provide support and troubleshoot issues
• Improve the product
• Protect the security and integrity of the service
• Comply with legal obligations when required

5. Who We Share Information With

We use a small number of trusted service providers to operate ClearSignoff:

• Supabase — database, authentication, and backend services
• Resend — transactional email delivery
• Netlify — hosting, deployment, and serverless/edge functions

These providers may process data only as needed to provide their services to ClearSignoff.

We may also disclose information if required by law or legal process, or to protect the rights, safety, or security of ClearSignoff, our users, or others.

7. Data Retention

• We retain data while an account or organization is active.
• If an organization is deleted or service use is terminated, we may retain data for up to 30 days to allow export, recovery, or account closure.
• After that period, data may be deleted or de-identified from active systems.
• Backup copies and logs may persist for a limited period according to our backup, security, and legal practices.

8. Data Export, Updates, and Deletion

You may:

• Request an export of your data
• Request deletion of your data
• Update certain account information directly in the app
• Contact hello@clearsignoff.com for help with any of the above

Some data may be retained where required for legal, security, audit, or legitimate business reasons.

9. Security

ClearSignoff uses reasonable administrative, technical, and organizational safeguards designed to protect the service and customer data. However, no internet-based service is completely secure, and we cannot guarantee that unauthorized access, data loss, or security incidents will never occur.

10. Children

ClearSignoff is intended for business users and is not intended for anyone under 18.

11. International Use

ClearSignoff is currently intended primarily for users and organizations in the United States. If you use the service from outside the United States, your information may be processed in the United States or through our service providers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will provide notice by email or through the service when practical.
